What exactly is AI automation and how does it work for my business?

AI automation replaces manual, repetitive tasks in your business with intelligent systems that run automatically. Instead of your team spending hours following up with leads, entering data into spreadsheets, or sending the same emails over and over a workflow does it instantly, accurately, every time.

Think of it this way: any task your team does more than once, in the same way, following the same steps that's a candidate for automation. We identify those tasks, build the systems that handle them, and connect everything to the tools you already use.

Do I need to be technical to work with Crestville AI?

Not at all. Our clients are business owners and managers not developers. We handle everything technical from start to finish and explain every step in plain language.

All you need to do is describe how your business currently works and what's frustrating you. We do the rest including training you or your team on how the finished system works before we hand it over.

What happens during the free strategy session?

It's a 30-minute video call no sales pitch, just a genuine audit of your operations. We ask about your current processes, where your team spends the most time, and what the biggest frustrations are.

By the end of the call, we'll have identified your top 2–3 automation opportunities and given you a rough sense of what each would deliver in time savings and cost reduction. You receive a written summary after the call regardless of whether you move forward with us.

What return on investment can I realistically expect?

Most clients see a positive ROI within 30–60 days of launch. Here's what that typically looks like in practice:

  • A business saving 10 hours per week at an average staff cost of $25/hour saves $1,000/month meaning a $1,500 project pays back in 6 weeks.
  • Faster lead response (from hours to seconds) typically increases conversion rates by 20–30%, directly impacting revenue.

We calculate your projected ROI during the strategy session with actual numbers based on your business.

Are there ongoing costs after the automation is built?

The tools and platforms your automation runs on may have their own subscription costs (e.g. Zapier, a CRM, or an email platform) but these are typically tools you're already paying for, or inexpensive relative to the savings.

Our project fee is a one-time build cost. After your 30-day included support period, you can choose to continue with an optional monthly retainer for ongoing improvements, monitoring, and new automation builds but it's never required.

Which tools and platforms do you integrate with?

We integrate with virtually any business platform. Most commonly:

  • CRMs: HubSpot, Zoho, Salesforce, Pipedrive
  • Communication: Gmail, Outlook, WhatsApp Business, Slack
  • Finance: Xero, QuickBooks, FreshBooks

If you use a platform not listed here, ask us if it has an API or webhook, we can almost certainly connect to it.

How long does implementation take?

It depends on the complexity of the automation:

  • Simple single-workflow automations: 48–72 hours from project sign-off to live.
  • Multi-workflow systems: 1–2 weeks including build, testing, and walkthrough.
  • Complex custom systems: 2–4 weeks, with milestone check-ins throughout.

Every project has an agreed timeline in the proposal and we stick to it.

What if the automation breaks or something goes wrong?

Every project includes a 30-day support period after launch. During this time we monitor performance, fix any issues that arise, and make adjustments based on real-world use.

Well-built automations are extremely reliable but if something does go wrong outside the support period, we're available to help. We'd rather fix an issue quickly than have you dealing with a broken workflow.

Data & Security

Is my business data safe? What about GDPR?

Yes. Data security is something we take seriously for every client, regardless of location:

  • We follow GDPR standards for all EU and UK clients
  • All integrations use encrypted, authenticated connections
  • We never store your customer data on our own systems
  • You retain full data ownership at all times
  • All platforms used comply with industry-standard security certifications

If you have specific compliance requirements (HIPAA, PCI-DSS, etc.), let us know during the strategy session and we'll ensure all recommendations are compatible.

Do you have access to my business systems and data after the project?

Only with your explicit permission. During the build phase we need access to connect and configure your systems but all access is granted and revoked by you through your own platform settings.

Once the project is delivered, you own and control everything. If you choose not to continue with a support retainer, you can revoke our access entirely. We'll provide full documentation so your team can manage the automation independently.

Working Together

How do we communicate and collaborate throughout the project?

All our work is done remotely we use Zoom or Google Meet for calls, and email or WhatsApp for day-to-day communication. We adapt to your preferred tools and your timezone.

We send progress updates at key milestones and do a full video walkthrough of every automation before it goes live so you always know exactly what's been built and how it works.

What if I want to change or expand the automation after launch?

Businesses evolve and your automation should too. Minor adjustments within the first 30 days are covered in your project fee. For new builds or significant expansions, we scope and price them as a new project.

Many of our clients come back for additional automations once they see how much the first one changes their operations. We treat every returning client as a priority.

I'm not sure if automation is right for my business yet. Can I still book a call?

Absolutely that's exactly what the free strategy session is for. You don't need to be ready to buy. You just need to be curious about whether there's a better way to run your operations.

We'll give you an honest assessment. If automation isn't the right solution for where your business is right now, we'll tell you that too. Our reputation is built on honest advice, not pushing services that don't fit.
